Assisting the Board of Trustees/committee in the determination of Insurance replacement values for Bodies Corporate and arranging for the insurance that the Body Corporate/Association may require.
Handling insurance claims on behalf of the Body Corporate with regard to the Sections and Common Property (including obtaining quotations required for remedial work on common property).
Assisting and advising the Board of Trustees/committee on the enforcement of the Rules adopted by the Body Corporate or Association.
To act as advisors to the Trustees/owners on the interpretation and implementation of the Sectional Titles Act No. 95 of 1986(STA), the Sectional Titles Schemes Management Act(STSMA), and the Community Schemes Ombud Services Act(CSOSA), as amended from time to time, or on the Constitution or Memorandum of Incorporation of the Association.
Dealing with owner / tenant problems that require implementation and action to be taken in terms of the Sectional Titles Act No. 95 of 1986, the STSMA and the Rules or Constitution as amended from time to time.
Interaction with legal representative concerning collection of outstanding levies etc. (Big priority)
Correspondence with member, authorities, contractors, professional persons etc.
Issue of Levy Clearance Certificates, Consent to Transfer, on sale and transfer of ownership of units.
Registration, correspondence and ensuring compliance with the Community Schemes Ombud services as required by the CSOSA.
Arranging and attending the Annual General Meeting, as well as quarterly meetings with the Board of Trustees/Committee, if need be.
Preparing and dispatching of notices for the General Meetings.
Attending to proxies, nominations, agendas, etc.
Preparation of minutes and the dispatch thereof to owners of all general meetings attended and attending to any matters arising there from.
Handling correspondence between members of the Body Corporate/Association and Trustees/Committee members.
Collection of monthly levies and the implementation of an efficient credit control system.
Payment of Salaries and Wages as instructed.
Payment of Body Corporate accounts on authorization by trustees/committee.
Preparation and dispatch to chairperson/trustee board of a monthly income and disbursement statement if requested.
Keeping of full records of the administration including proper books of account in terms of accepted accounting principles.
Supervision of the Annual Financial Statements prepared by the auditors of the Body Corporate/Association and, on completion, submission of the audited statements to the members of the Body Corporate/Association.
Dealings with local and other authorities and compliance with all statutory requirements in so far as such dealings are required for the proper and efficient and effective management and administration of the property.
Assisting and advising the Board of Trustees on the maintenance of the common Property.
Negotiating on behalf of the Board of Trustees if so requested with:
Obtaining quotations from contractors for repairs and maintenance to the building and common property.
